Automate bill entry from your email with AI

Nobody needs another habit. The bills already arrive in your inbox — TNB, Unifi, the telco, half your suppliers — and then sit there until month end. This playbook turns that inbox into your intake tray, using your own AI assistant’s mail connector and the folder loop you already set up.
The short version
- Assumes the setup playbook is done — the connector is on and your AI can see your books.
- Taokeh never reads your email — your agent’s own connectors do. We are never in the mail path.
- Honest limit: as at August 2026, Claude’s Gmail connector reaches email and attachment metadata, not attachment content. So it finds the bills; you save the files; the loop files them.
- Filing the same bill twice is safe — Taokeh returns the existing draft and creates nothing new.
- You end where you always end: the approval deck, and a tap.
What do you need before you start?
The spine from the setup playbook: the Ask Taokeh add-on on, https://taokeh.my/mcp added as a connector, and your AI able to list its Taokeh tools. If that is not done, do the setup playbook first — it takes about ten minutes and this one is four steps long afterwards.
You also need the folder from that playbook. The sweep ends by putting files into it.
How do you connect your AI to your inbox? (step 1)
Through your AI app, not through Taokeh. Taokeh never reads your email — your agent’s own connectors do.
- 1. In claude.ai or Claude Desktop, open Settings → Connectors, find Gmail under Google Workspace, click Connect, and sign in with the Google account your bills arrive at. Anthropic documents this connector as available on Claude and Claude Desktop; a Team or Enterprise workspace may need an admin to enable it first.
- Outlook and other mailboxes: use whatever mail connector your assistant offers. The rest of this playbook does not care which one it is.
What can the mail connector actually see?
Read this before you design a workflow on top of it. Anthropic’s own documentation says the Gmail connector reaches “email metadata, including attachment metadata (not attachment content)”, and that “attachment content is not directly accessible through Gmail”.
In practice that is still most of the work: your AI finds the month’s bills, names them, and tells you exactly which ones it found — the hunting, which is the part you hate. You save those attachments into your folder with one drag, and the loop from the setup playbook does the reading and filing.
That is what we ran, and what we are describing. If a future client version reads inside attachments, this step gets shorter, not different.
How do you run the sweep? (steps 2–4)
Paste the block below. Change the month, the folder path, and the senders to your own suppliers.
- 2. Paste the instruction block into a new chat with the mail connector on.
- 3. Save the attachments it lists into your watch folder — drag them in from your mail client.
- 4. Let it file them, then read its report: vendor, amount, draft link, and anything it could not read.
Search my mail for bills received in July 2026 — TNB, Unifi, CelcomDigi, and anything whose subject looks like an invoice or statement. List what you find: sender, subject, date, and the attachment filename. I will save those attachments into ~/Documents/Taokeh/Inbox. Then, for each file in that folder: 1. Read it yourself and call Taokeh's intake_contract before filing. 2. Attach the original: request_attachment_upload, PUT the file, pass the token to the draft. 3. File an expense draft, or a bill draft if it is stock we resell. 4. If Taokeh says a matching draft already exists, stop — do not file it again, just tell me. 5. Never guess a digit. Flag any unclear figure and name it. 6. If a document is unreadable, leave it where it is, rename it NEEDS-ME-<name>, and tell me why. Do not post anything. Drafts only — I approve them in Taokeh.
What if the same bill gets swept twice?
We tested exactly this. The July electricity bill was filed once from the folder, then swept again from email a second time.
Taokeh answered that a matching pending draft already existed, created nothing new, kept the original already on file, and handed back the first draft. Your books do not double-count because your AI was thorough.
And when the AI got an amount wrong — RM3,480.00 for a RM348.00 bill — the fix was a revision of that same draft, not a second one. The approval card shows the corrected figure and says the AI revised it.
How do you make it monthly? (step 5)
Same honest answer as the setup playbook, because it is the same mechanism.
- 5a. If your plan offers a scheduled or recurring task, create one for the first working day of each month and point it at the block above.
- 5b. If it does not, save the block as a saved prompt and run it on statement day. Pick the day you already open the bank app.
- 5c. Either way it drafts and reports. It does not post, so a run you did not watch cannot hurt your books.

Frequently asked questions
Does Taokeh get access to my email?
Taokeh never reads your email — your agent’s own connectors do. There is no Taokeh tool that reads, lists or touches a mailbox. The mail connector belongs to your AI assistant and is authorized in your AI app, not in Taokeh.
Can my AI read a PDF attached to an email?
As at August 2026, Anthropic documents the Gmail connector as reaching attachment metadata, not attachment content. So it finds and names the bill; you save the file; your AI reads the file. Check your own app — this is the kind of limit that changes.
What happens if I run the sweep twice in one month?
Nothing doubles. A bill that already has a pending draft comes back as a match, with the existing draft returned and nothing new created. We tested this deliberately before publishing.
Does it pay the bills too?
No. It files drafts of what the bills say. Paying, and approving, stay with you — the connector cannot post an entry, let alone move money.
What about bills that arrive on paper?
