Set up an AI bookkeeper in Malaysia — step by step (2026)
Baca panduan amali ini dalam Bahasa Malaysia →
This is a setup you perform, not a feature tour. At the end, you drop a supplier bill into a folder on your computer, your own AI reads it, files a draft into your books with the original attached, and tidies the file away the way you asked. You tap approve. Nothing posts until you do.
The short version
- You connect your own AI assistant (Claude Desktop, or claude.ai on the web) to your Taokeh books once. Add-on is RM29/mo, included in the 14-day trial.
- Your AI does the reading, on your own AI subscription. Taokeh’s server never calls a model on these paths.
- Taokeh reads your live books freely and files drafts. It can never post, edit or delete — a human approves every entry before it hits the ledger.
- Steps 1–3 are the spine: install the client, add taokeh.my/mcp as a connector, authorize. Every other playbook starts from here.
- The last step is yours forever: open the approval deck and tap. That is the job we are not automating.
What are you actually setting up?
Three things that already exist, wired together once. Nothing of ours is installed on your computer.
- Your AI assistant — the one you already pay for. It does the reading and the typing.
- Taokeh — your books. It receives what the AI files, as a draft, and shows it to you.
- A folder on your computer that you drop documents into. Any folder. You name it.
- The connection between them is a connector: one URL, 41 tools, added once.
How do you connect your AI to your books? (steps 1–3)
This is the spine. Do it once; every other Taokeh playbook assumes it is done.
- 1. Get the add-on on. In Taokeh, open Integrations → AI connector and switch on the Ask Taokeh add-on — RM29/mo, and it is already on during your 14-day trial.
- 2. Install the client. Claude Desktop is the primary track here because it can watch a folder on your own machine. If you would rather work in a browser, claude.ai on the web does steps 3 onward identically, minus the folder.
- 3. Add the connector. In Claude Desktop, open Settings → Connectors → Add custom connector. Name it
Taokeh, pastehttps://taokeh.my/mcpas the URL, and click Add. Sign in to Taokeh on the screen that opens and approve the access. - Check it took. Start a new chat and ask: “list the Taokeh tools you can see”. You should get a list, not an apology. If you get nothing, quit the app fully and reopen it — closing the window is not enough.
How do you get a bill into the books? (steps 4–6)
Make a folder — anywhere, any name. Ours was called Inbox. Drop two or three real supplier bills or receipts into it, as PDFs or photos.
Then paste the block below into a new chat. This is the exact wording we ran; it is not an example we made up.
- 4. Make the folder and put the documents in it.
- 5. Paste the instruction block into a new chat, with your folder’s real path in place of ours.
- 6. Read what it tells you. It should name each document, the amount it read, and where it filed the draft. If it says a figure was unclear, it is telling you the truth — check that one against the paper.
Watch the folder ~/Documents/Taokeh/Inbox. For each document in it: 1. Read the file yourself, then call Taokeh's intake_contract to see what the books need. 2. Call request_attachment_upload, PUT the original file to the URL it gives you, and pass the token to the draft — I want the original attached, always. 3. File it: an expense draft for something we consumed, a bill draft for stock we resell. 4. Never guess a digit. If any figure is unclear, file it anyway with the amount flagged uncertain and tell me which figure to check. 5. Report back: the vendor, the amount, and the link to the draft. Do not post anything. Drafts only — I approve them in Taokeh.
What happens when it reads the same bill twice?
Nothing bad, and this is worth knowing before you trust it. We filed the same TNB bill a second time on purpose.
Taokeh answered that a matching draft already existed, created nothing new, and handed back the first draft. One bill, one draft, regardless of how many times your AI sees the file.
A misread is handled the same way: your AI revises the draft it already filed rather than filing a competing one, and the approval card shows you the revised figure and a note saying the AI changed it.
How do you tell it where to put the files afterwards? (step 7)
This part is yours, not ours. We do not ship a filing scheme, because your shelf is not our shelf.
Tell your AI how you want processed documents organized, in one sentence, and it will do that with its own file tools. The instruction we ran was:
- 7. Add your own organizing sentence to the chat — one line, plain words. Example, and only an example:
- “After you file a document, move it out of Inbox into Filed and rename it
<date>-<vendor>-<amount>.pdf. If you could not read it, leave it in Inbox, rename itNEEDS-ME-<name>, and tell me why.” - Any scheme works: by month, by supplier, by project, or none at all. Taokeh neither sees nor needs your folder.
How do you make it run without you? (step 8)
Honestly: it depends on your client, so here is what each one really does.
- 8a. Claude Desktop / claude.ai. Wherever your plan offers a scheduled or recurring task, create one and point it at the same instruction block. Anthropic ships recurring tasks on paid plans; the exact label has moved more than once, so look for “schedule” or “recurring” in your app.
- 8b. If your client has no scheduler, save the block as a saved prompt or project instruction and run it on a fixed day — the first of the month, or the day the statement lands. A habit on a date beats an automation you never set up.
- 8c. ChatGPT. It supports custom MCP connectors through developer mode and the same
https://taokeh.my/mcpURL, but availability varies by plan. We do not describe its screens here because we have not run them.
What still needs you?
Open Taokeh, look at the drafts, and tap approve. That is the whole residual job — and it is deliberately yours.
Frequently asked questions
Does Taokeh read my documents with its own AI?
No. Your AI assistant reads them, on your own AI subscription. Taokeh’s server never calls a model on connector paths — it receives the fields your AI extracted, stores the original you attached, and shows you a draft.
Can the connector post to my ledger without me?
Taokeh reads your live books freely and files drafts. It can never post, edit or delete — a human approves every entry before it hits the ledger. There is no tool in the connector that posts, edits or deletes.
What does this cost?
The Ask Taokeh connector add-on is RM29/mo as at August 2026, on top of your Taokeh base plan, and it is included in the 14-day free trial. Your AI assistant is billed separately by whoever you buy it from.
What if my AI misreads an amount?
It should flag the figure as uncertain rather than guess, and the draft reaches you marked for review. If it corrects itself, it revises the same draft instead of filing a second one, and the approval card shows the change.
Do I have to use Claude?
No. Any MCP-capable assistant can use the same endpoint. We wrote the Claude Desktop track because it can watch a folder on your own machine, which is what makes the drop-and-forget loop work.
Updated August 2026
This playbook is general information for Malaysian SMEs, not tax, legal or accounting advice. Screens in third-party AI apps change — the steps here are as at August 2026; confirm against your app if a screen looks different.
The Taokeh AI connector — what it reads, what it can file, what it can never do
Your own AI runs your back office; Taokeh keeps the books — and you approve every entry.
