Photographing a bill and having it read into your books is the most familiar kind of accounting AI, and the easiest to buy badly. Two things decide whether it is worth it: how it is metered, and whether the original document survives.

The short version

What scanning actually does

The software reads the image and pulls out the fields a bookkeeper would type: supplier, date, document number, line items, tax and total. It then proposes an entry.

Why it is metered, and what to ask

Reading a document costs the vendor money each time, so an unlimited claim usually means a cap you have not been shown yet.

Ask what counts as one scan — a page, a document, or a retry after a bad photo.
Ask what happens when you hit the limit: a hard stop, a charge, or slower processing you were not told about.
Ask whether the meter is shared with other AI features, so you know what drains it.
Ask to see your usage in the app. A meter you cannot read is not a meter you can plan around.

The part vendors talk about least: the original

Extraction accuracy gets the demo. The original document is what you actually need eighteen months later, when someone asks why an expense was claimed.

The photographed receipt or supplier PDF should attach to the posted entry, not be discarded once the fields are read.

Frequently asked questions

How accurate is AI receipt scanning?

Good on clean PDFs and printed bills, decent on phone photos, and worse on faded thermal paper — which is why the extraction produces a draft you check rather than a posted entry. Accuracy claims are worth testing with your own worst receipt during a trial.

Why is scanning metered when the connector is not?

They cost differently. Reading a document runs a model on the vendor’s account every time, so it is metered; a connector charges for the doorway while you pay your own AI subscription for the thinking. Taokeh prices them separately for that reason.
